With the SharePoint Embedded integration you can create and edit Word documents directly in JUNE – using the familiar Microsoft Office interface. Multiple users can work on the same document simultaneously, and once finished the document is automatically archived as a PDF in the case.

SharePoint Embedded is a technology developed by Microsoft that enables applications to integrate Microsoft 365 storage and collaboration features.

  • All documents remain entirely in your Microsoft 365 tenant – JUNE does not store any document content

  • Usage is billed separately via Azure (not counted against your SharePoint quota)

  • The storage area is completely isolated from your regular SharePoint

Technical background: SharePoint Embedded

SharePoint Embedded creates a separate storage area (Container) in your Microsoft 365 tenant. These containers are:

  • Completely isolated from your regular SharePoint

  • Only accessible via JUNE

  • Automatically subject to your Microsoft 365 compliance policies

Note on billing: The use of SharePoint Embedded is billed via your Azure subscription (pay-as-you-go). Costs are based on storage space and API calls. For details, see the Microsoft Billing documentation.


Requirements

Before you can set up the integration, the following prerequisites must be met:

Microsoft 365 & Azure requirements

  • Active Microsoft 365 subscription with SharePoint

  • Azure Subscription in your tenant (Setup Guide)

  • Resource Group in your Azure Subscription

  • SharePoint activated in your Microsoft 365 tenant

Required Microsoft permissions

The administrator performing the setup requires one of the following Microsoft Entra Roles:

Important: The roles Cloud Application Administrator, SharePoint Administrator and SharePoint Embedded Administrator are not sufficient for Admin Consent.

Required JUNE permissions

In addition to the Microsoft roles, the JUNE user needs the following permissions, which are assigned via Role Management:

Note: Without the ADMIN_INTEGRATION_READ permission, the Integrations menu item is not visible. Without ADMIN_APPS_READ, the Apps tab is not displayed.

Permissions can be configured under Profile & Administration → User Management → Roles.

Find Tenant ID

The Tenant ID can be found in the Azure Portal:

  1. Open the Azure portal

  2. Navigate to Microsoft Entra ID (formerly Azure Active Directory)

  3. Click on Overview

  4. The Tenant ID (Directory ID) is displayed under Basic Information


Setup step by step

The setup is done via a 3-step wizard in a single dialog: Enter Tenant ID, grant Admin Consents and activate.


Step 1: Open integration

  1. Log in to JUNE

  2. Click on your name at the top right and select Profile & Administration

  3. Click on Integrations in the sidebar

  4. Select the Apps tab

  5. Click Connect on the SharePoint card

Step 2: Enter Tenant ID

A dialog with a 3-step wizard opens. In Step 1 – Tenant ID:

  1. Enter your Microsoft 365 Tenant ID

  2. Click Save

After saving, Step 1 is marked as completed with a green checkmark and the wizard automatically advances to Step 2.

Tip: You can find the tenant ID in the Azure portal under Microsoft Entra ID → Overview.

Step 3: Admin Consent for Connection App

The wizard switches to Step 2 – Admin Consents. Two consents must be granted here:

  1. Click on Admin Consent in the “Connection App” section

  2. A Microsoft login window opens

  3. Log in with an administrator account (Privileged Role Administrator or Global Administrator)

  4. Review the requested permissions

  5. Click Accept

After granting consent, the status shows “1 of 2 consents granted”.

What's happening here?
You authorize JUNE to create an Enterprise Application in your Microsoft 365 tenant. This enables communication between JUNE and SharePoint.

Alternative: If you are not an administrator yourself, you can use the Copy icon next to the consent URL to copy the link to your clipboard and forward it to an administrator.

Step 4: Admin Consent for Container Type

  1. Click Admin Consent in the “Container Type” section

  2. Go through the Microsoft sign-in process again

  3. Accept the requested permissions

After the second consent, the status shows “2 of 2 consents granted” and the wizard automatically advances to Step 3.

What's happening here?
You authorize the creation of a container type that defines how JUNE is allowed to store documents in your tenant.

Step 5: Activate integration

The wizard shows Step 3 – Setup with an initial notice:

SharePoint Embedded is being set up

The Admin Consents have been granted. Setup can take up to one hour. You will receive an email notification once setup is complete.

After setup is complete (you will receive an email notification):

  1. Reopen the setup dialog

  2. Step 3 displays the message: “The setup is complete. You can now activate SharePoint Embedded.”

  3. The Activate button is now enabled

  4. Click Activate

  5. The status changes to “Activated”

Dialog controls

  • Close: Click Close or the X icon to close the dialog. Progress is saved.

  • Reload Status: Click the refresh icon in the dialog footer to check the current status.


After setup

Check status

  • Use Reload Status in the setup dialog to query the current status

  • After successful setup, the dialog shows the status "Connected".

Work with Microsoft Word from JUNE

After successful setup, in JUNE you can:

Create new documents

  • Navigate to a file

  • Click on the Plus button in the story

  • Select Create letter

  • Select the DOCX format (Word)

  • Fill in the required fields and click Create

  • The Word document is automatically created

  • A confirmation appears: “The document has been successfully saved to SharePoint.”

  • The Word preview opens directly in JUNE

Edit documents

  • Click on the document in the story

  • The document opens in the Office web environment

  • Changes are saved automatically

  • Multiple users can edit at the same time

Complete documents

  • Once completed, click Complete

  • Confirm in the dialog with Yes. The Word document is automatically converted to PDF and archived in the JUNE case


Frequently Asked Questions

Which Microsoft licenses are required?

Document collaboration does not require a Microsoft Office license. Users simply need to exist in your Microsoft Entra ID as members or guests.

Who can set up the integration?

Two types of permissions are required for setup:

  • In JUNE: The user needs the permissions ADMIN_INTEGRATION_READ, ADMIN_APPS_READ and ADMIN_APPS_EDIT (see section “Required JUNE permissions”).

  • In Microsoft 365: The user needs the Privileged Role Administrator or Global Administrator role for the Admin Consent steps. For more information, see the Microsoft Entra documentation.

Where are my documents stored?

All documents remain in your Microsoft 365 tenant in a dedicated SharePoint Embedded Container. JUNE only has access via the interfaces you have authorized.

What happens to existing documents?

Existing documents created before SharePoint activation are not affected by the integration. They remain in existing storage and can be viewed as usual.

How much does SharePoint Embedded cost?

SharePoint Embedded is billed by Microsoft through your Azure Subscription:

  • Costs based on storage space used and API calls

  • Pay-as-you-go model (no fixed license costs)

  • Not counted toward your regular SharePoint storage quota

Can I disconnect the integration again?

Yes, the integration can be deactivated at any time. Please contact JUNE Support.


Troubleshooting

Admin Consent is not working

Issue: Admin Consent is not accepted or fails.

Solution:

  1. Make sure you are logged in with an account with sufficient privileges (Privileged Role Administrator or Global Administrator)

  2. Disable pop-up blockers for the Microsoft login window

  3. Check whether your organization has restricted Admin Consent Workflows.

"Admin consent is missing" error message

Issue: The integration shows that Admin Consent is missing even though it has been granted.

Solution:

  1. Click on Reload Status

  2. Wait a few minutes and try again

  3. If the problem persists, perform consent again

Integration does not show "Connected"

Problem: After activation, status does not show "Connected".

Solution:

  • Wait up to 60 minutes after activation

  • Check your email inbox for the notification

  • Use Reload Status to update

Documents cannot be created

Issue: Document creation in SharePoint fails.

Possible Causes:

  • Integration is not fully set up yet (wait for email confirmation)

  • The user does not exist in your Microsoft Entra ID

  • The Azure Subscription is not active or does not have a valid payment method
